Instructions for Presenters

We are excited that you will be presenting at the 2006 Joint Meeting in New Orleans, LA, 12-17 July, 2006. Please review the following information to ensure that the meetings go smoothly.

Meeting Room Equipment

  • All meeting rooms are equipped with LCD projectors and PCs. Each computer will contain one DVD/CD ROM. The following software will be contained on each computer:
    1. QuickTime
    2. Windows Media Player
    3. Microsoft Office 2003
    4. Windows XP

Preparing Your Presentation

  • Presenters must use the host computers for PowerPoint presentations. (PC)
  • All videos must be in DVD format
  • Label your disk(s) exactly as follows: - this is important!
    • Name of presenter
    • Title of presentation
    • Day and Date of presentation
    • Room of presentation (you can find the room of your presentation by checking the schedule)
    • Time of presentation
    • Contact information (how an AV technician can reach you in New Orleans)
  • Presentations can be saved on a CD-ROM disk, or a memory stick. Bring a backup!
  • Name your file following instructions below. We must avoid all files being named 2006 Joint Meeting Presentation!

    Last name,first initial-abbreviated presentation title date, time
    Example: Adams,D-population structure and movement patterns 14July06 1400
  • If you do not plan to use PowerPoint for your presentation, please contact Sharon Brookshire to request alternate equipment.

Submitting and retrieving your presentation at the meetings

E-mail your presentation to Howard McNeely with all the required information above. This is recommended for presenters who have a talk on Thursday afternoon, 13 July. Questions about equipment or submitting your presentation can be sent to Howard McNeely.

Submit your presentation to the Audio Visual Office (PSAV) located on the 5th Floor at the Sheraton New Orleans. Please submit your presentation by *1500 the day before your presentation. A technical coordinator dedicated to the meeting will immediately load your presentation on the master computer. Your memory stick or CD will be returned to you at that time.

*If you present on Thursday afternoon, 13 July, either e-mail your presentation to Howard McNeely or bring your presentation to the Audio Visual Office (PSAV) on the 5th Floor Thursday morning before 1000.
